The Original Pet Dog Co. is the controller and responsible for your personal data (collectively referred to as "we", "us" or "our" in this privacy notice). This policy (together with our terms of use and any other documents referred to on it) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. This website is not intended for children and we do not knowingly collect data relating to children. It is important that you read this privacy notice together with any other privacy notice or fair processing notice we may provide on specific occasions when we are collecting or processing personal data about you so that you are fully aware of how and why we are using your data. By engaging with us in person or through our website, you are accepting and consenting to the practices described in this policy.

Information categories we may use

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).

We may collect and process the following data about you:

We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data may be derived from your personal data but is not considered personal data in law as this data does not directly or indirectly reveal your identity.

  • ​Information you give us. You may give us information about you by filling in forms on our website www.originalpetdog.co.uk (our website) or by corresponding with us by phone, e-mail, face to face, or otherwise. This includes information you provide when you engage us to provide the services described in our Terms and Conditions, register to use our website, subscribe to our service, participate in discussion boards or other social media functions on our website, enter a competition, promotion or survey and when you report a problem with our website. Your information will be stored and processed in the UK.

  • Information we collect about you. With regard to each of your visits to our website we may automatically collect the following information:

    • Technical information, including the Internet protocol (IP) address used to connect your computer to the Internet, your login information, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform.

    • Information about your visit, including the full Uniform Resource Locators (URL) clickstream to, through and from our website (including date and time); page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page and any phone number used to call us.

  • Information we receive from other sources. We may receive information about you if you use any of the other websites we operate or the other services we provide. We may collect and process the following data about you:

    • your name

    • your address

    • your e-mail address

    • your phone number

    • your financial information,

    • your photograph

 

In this case we will have informed you when we collected that data that it may be shared internally and combined with data collected on this website. We are also working closely with third parties (including, for example, business partners, sub-contractors in technical, payment and delivery services, advertising networks, analytics providers, search information providers) and may receive information about you from them. We may also receive information about you when you are referred to us from your vet.

How we use your personal information

We process your data to provide the services and products defined in our Terms and Conditions. Our legal basis for processing this data falls into one of the following categories:

  • To enable us to form a contract with you to provide services

  • To serve our legitimate business interests – such as processing a payment or sending you an appointment reminder

  • Where we have your consent – such as for marketing

 

We may share the information about you defined above with certain categories of third parties, to enable us to provide the products and services defined in our Terms and Conditions. These include:

  • payment processors such as Square, who will retain your data only for the time it takes to process the payment

  • booking partners such as Acuity Scheduling who collect your data on our behalf

  • website hosting such as Wix who will store information used to contact us through contact forms

 

Where we share your information with third parties, we ensure they only receive the information they need to fulfil their services to us. We will retain information about you for as long as we have a legitimate business interest to do so. After this your information will be securely destroyed where possible or at least anonymised where destruction is technically impossible.

 

Securing your information

We understand the importance of keeping your information safe and secure, and we use a range of technical and organisational measures to achieve this. We only allow access to your information to those who have a legitimate business need to do so, and under strict confidentiality. We have processes in place to deal with potential breaches to information security, and these include communication to you and our regulators where we are legally required to do so.

This website may include links to third-party websites, plug-ins and applications. Clicking on those links or enabling those connections may allow third parties to collect or share data about you. We do not control these third-party websites and are not responsible for their privacy statements. When you leave our website, we encourage you to read the privacy notice of every website you visit.

 

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.

 

If you fail to provide personal data

Where we need to collect personal data by law, or under the terms of a contract we have with you and you fail to provide that data when requested, we may not be able to perform the contract we have or are trying to enter into with you (for example, to provide you with goods or services). In this case, we may have to cancel a product or service you have with us but we will notify you if this is the case at the time.

 

Your Rights

We strive to provide you with choices regarding certain personal data uses, particularly around marketing and advertising. We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us. If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so. To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

 

By law we have to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers for tax purposes.

 

We have established the following personal data control mechanisms:

  • Promotional offers from us

We may use your information to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which products, services and offers may be relevant for you (we call this marketing).

You will receive marketing communications from us if you have requested information from us or purchased services and/or digital content from us or if you provided us with your details when you entered a competition or registered for a promotion and, in each case, you have not opted out of receiving that marketing.

  • Third-party marketing

We will get your express opt-in consent before we share your personal data with any third party companies for marketing purposes.

You can ask us or third parties to stop sending you marketing messages at any time by contacting us at any time.

Where you opt out of receiving these marketing messages, this will not apply to personal data provided to us as a result of a service/digital content purchase, warranty registration, service/digital content experience or other transactions.

 

Under the GDPR you have the following rights over your information:

  • To fair processing by us of your information – we have to be clear and transparent about what we do with your information.

  • To access, correct, update, or request that we stop processing or delete your information. To exercise these rights please contact us via your practice.

  • To opt out of marketing communication – please see the Opt Out Page on how to do this and the categories of communication we use.

  • To withdraw your consent for processing where we rely on your consent to process your information.

  • You have the right to make a complaint at any time to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk). We would, however, appreciate the chance to deal with your concerns before you approach the ICO so please contact us in the first instance.

 

Access to Personal Data

You have the right to demand confirmation that we process your data, to receive a copy of your data, and you any other information about how and why we process your data. We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

 

Correction of Personal Data

You have the right to request that we rectify your personal data if it is incomplete or inaccurate.

Deletion of Personal Data

In some circumstances, you have the right to demand that we delete your personal data unless there is a reason for us to continue processing it. This right applies if we have no further use for your data, if you rescind your consent for processing particular categories of your data, or if you oppose the manner in which we process your data.

 

Limit Processing of Personal Data

You have the right to demand that we limit processing of personal data we hold about you.
This right applies when:

  • You think the data is incorrect;

  • The processing is illicit but you prefer us to cease processing rather than delete your data

  • When we no longer need to use your personal data for the purpose for which it was collected, but it is still required for the fulfilment, exercise or defence of rights in court or for legal purposes

  • You want to check that our legal basis for processing the data does not impact your rights.

 

Oppose Use of Personal Data

You have the right to oppose our processing of your personal data if our legitimate interests impose on your rights and freedoms in law.

Additionally, you have the absolute legal right to oppose our processing of your data if we are doing it for the purposes of direct marketing.

Rescind Consent

Where we process your personal data with consent as our legal basis for processing, e.g. for direct marketing, you have the right to withdraw that consent at any time. We provide opt-out instructions in our communications.

If you contact us to exercise any of these rights we may ask for information about you to positively identify you and verify your request is valid.
